- Apartment List’s Match AI nurtures prospects early. During that time, the guest card enters Yardi as Canceled so it doesn’t clutter your queue.
- When a renter is ready to tour or talk, Apartment List reactivates the lead and it will re-enter your leasing queue.
- You’ll have a link to the full AI conversation in the activity screen of any lead.
- Apartment List works each lead with 6 total outreach attempts (3 in the first 3 days, then 3 more spaced to the prospect’s move-in date).
What to do when you see a “Canceled” Apartment List lead:
- Do not recreate a new guest card. Wait for the reactivation if/when the renter is ready.
- Check for a reactivated lead before submitting a ticket—search the prospect name/email in Yardi.
- If the renter reaches out to you directly, engage as usual and note “Apartment List” as the source.
