Thank you to everyone who joined us for our May AIM! We appreciate the engagement, feedback, and patience as Teams decided to keep us humble with a few presentation glitches along the way. ?
A transcript, recording of the presentation and other materials are attached here but don’t forget — you can always revisit the meeting in your Teams calendar to catch anything shared in the chat or rewatch a section.
TLDR & Reminders
HR | Paycom Punches & Timecards
A few important reminders as we continue settling into the new process:
• Punch Change Requests should only be used for missed punches
• Managers should review prior day punches daily
• Review changes directly in the employee timecard before approving
• Double check AM/PM selections and lunch punch types
• Employees should continue approving check previews for payroll accuracy

Regional Maintenance | On-Call Emergencies
As temperatures rise, Ryan reviewed some reminders around after-hours emergency calls:
• Ask: “Can this safely wait until the next business day?”
• Team safety always comes first during storms, severe weather, or unsafe conditions
• Exterior HVAC work should not be performed after dark
• Communication with residents matters just as much as the response itself

An updated RMD contact list is also in progress and expected to be available soon in Tapestry Commons.
Accounting | Concessions & P2P Invoice Entry
A couple of recurring items the Accounting team asked everyone to keep an eye on:
• Future concessions should not be posted early
• Use recurring lease charges for future month concessions
• Always use the actual invoice number, invoice date, and due date shown on vendor invoices in P2P
• If you receive a duplicate invoice warning, please partner with your Property Accountant before resubmitting

Marketing | Reviews, Paid Ads & Photography
Some helpful reminders from Marketing:
• Please do not use the “Boost Post” button on Facebook
• Always respond publicly to Google reviews before flagging for removal
• Recurring resident complaints can help identify opportunities for FAQ content
• Property photo prep matters — review the photography checklist before shoots and only submit approved final images to Marketing

A Quick Reminder About AIM Invites
AIM meetings are scheduled one quarter at a time and shared through a distribution list that does not automatically update with new hires, promotions, or role changes. Please continue sharing meeting invites and recaps with new team members as they join your teams or transition into new roles so everyone stays connected to updates and resources.
We Want Your Feedback
Several of this month’s topics came directly from survey responses, so please continue sharing what’s helpful, confusing, or what you’d like to see more of in future AIM meetings.
